How ViralWhip collects, uses, and protects your information.

1.Introduction
ViralWhip ("we," "us," or "our") operates a platform that connects Clients who need video editing with Editors who perform that work. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use our website, mobile apps, and services (collectively, the "Service"). By using the Service, you consent to the practices described here.
2.Information We Collect
Information you provide directly:
- Account information - your name, email address, password (stored as a hash), and the role you select (Client, Editor, or Admin).
- Profile information - any additional details you add to your profile, such as a display name or company.
- Project information - the raw footage, reference links, instructions, and other Content you submit when creating a Project.
- Communications - messages, review notes, and support requests you send through the Service.
- Billing information - your name, email, and payment method details, which are handled by our payment processor Stripe (see Section 8).
- Referral information - emails of people you refer, if you participate in a referral program.
Information collected automatically:
- Usage data - pages viewed, features used, time spent, and other interactions with the Service.
- Device and technical data - IP address, browser type, operating system, device identifiers, and approximate location derived from IP.
- Cookies and similar technologies - see Section 4.
Information from others: We may receive information about you if another User refers you, tags you in a message, or if a third-party service (such as Google, when you use "Continue with Google") shares basic profile details with us.
3.How We Use Your Information
We use your information to:
- Provide, operate, and maintain the Service, including matching Clients with Editors and delivering Finished Files.
- Create and manage your account and authenticate you when you log in.
- Process payments, issue credits, and manage billing and subscriptions.
- Communicate with you about Projects, updates, security, and policy changes.
- Provide support and respond to your requests.
- Monitor for fraud, abuse, and violations of our Terms.
- Comply with legal obligations and protect our rights and safety.
- Improve, personalize, and develop the Service and new features.
- Aggregate and de-identify data for analytics that do not identify you personally.
Where we rely on your consent to process your information, you may withdraw consent at any time without affecting processing that was already lawful. Where we rely on a contract or legitimate interests, those bases are described here.
4.Cookies and Tracking Technologies
We use cookies and similar technologies to keep you logged in, remember preferences, measure traffic, and understand how the Service is used. Most browsers let you control or delete cookies, but disabling them may affect some features. We do not use cookies to sell your personal information to third parties.
5.Account Data
Your account data (name, email, role, profile details) is stored for as long as your account is active. You can update certain profile details in your settings. You may request deletion of your account, subject to our need to retain records for billing, legal, and safety purposes as described in Section 11.
6.Project Files and Content
Raw footage, Finished Files, reference links, and other Project Content you submit are stored to deliver the Service and to allow review, revisions, and record-keeping. This Content is visible to the people involved in the Project - the Client, the assigned Editor(s), and ViralWhip administrators - and is not shared publicly unless you choose to share it. We do not claim ownership of your Content; you retain your rights subject to the licenses in our Terms.
We may retain Project Content for a period after a Project is completed to support revisions, dispute resolution, and support. After that period, or when you delete a Project, associated files may be removed from active storage.
7.Communications
Messages, review notes, and support requests you send are stored to provide the Service and for quality and safety review. They are visible to the participants of the relevant Project and to ViralWhip administrators. We may use the content of support requests to improve our help resources.
8.Billing Data
Payment processing is handled by Stripe. We do not store your full card number or banking details on our servers; Stripe tokenizes and securely stores that information. We receive limited data from Stripe (such as the last four digits of your card, card brand, and billing status) to manage your account. Stripe's use of your data is governed by its own privacy policy.
9.How We Share Information
We share information only as described here:
- With other Users - as needed to perform a Project (for example, your email and Project details with the assigned Editor, and the Editor's name with the Client).
- With service providers - trusted third parties that help us operate, such as payment processing (Stripe), email delivery, hosting, analytics, and customer support. These providers are bound to protect your data and to use it only for the services they provide to us.
- For legal reasons - if required by law, court order, or government request, or to protect the rights, property, or safety of ViralWhip, our Users, or others.
- In connection with a business transfer - if we are acquired by or merge with another company, information may be transferred as part of that transaction, subject to this policy.
- With your consent - for any other sharing we ask about and you agree to.
We do not sell your personal information to third parties for money.
10.Editors, Clients, and Third Parties
Clients and Editors interact through the Service. When you share information with another User (for example, in a message or by sharing a file), that User may retain or use it according to their own practices. We are not responsible for how another User handles your information once you have shared it with them.
11.Data Retention
We keep your information for as long as your account is active and as needed to provide the Service. After account closure or deletion, we retain certain information for as long as necessary to comply with legal obligations, resolve disputes, enforce our agreements, protect against fraud, and maintain business records. Where we no longer need information for these purposes, we remove it or de-identify it.
12.Data Security
We use reasonable technical, administrative, and physical safeguards to protect your information, including encryption in transit, access controls, and regular review of our systems. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. If a breach occurs that we believe affects you, we will notify you and authorities as required by law.
13.Your Privacy Rights
Depending on where you live, you may have rights regarding your personal information, including the right to:
- Access or receive a copy of the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Delete your personal information, subject to our legitimate need to retain certain records.
- Restrict or object to certain processing.
- Withdraw consent where we rely on consent.
- Receive your information in a portable, machine-readable format (data portability).
- Opt out of the "sale" or "sharing" of personal information where applicable (we do not sell your information).
To exercise any of these rights, contact us through the in-app support feature. We will respond within the timeframe required by applicable law. We may need to verify your identity before acting on a request.
14.California Privacy (CCPA/CPRA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act and the California Privacy Rights Act. You may request disclosure of the categories of personal information we collect, the purposes for which we use them, the categories of third parties with whom we share them, and the specific pieces of information we hold about you. You may also request deletion of your personal information and opt out of any "sale" or "sharing." We do not sell personal information as defined by California law. To submit a request, contact us through the in-app support feature.
15.European, UK, and Other Privacy Laws (GDPR/UK GDPR)
If you are located in the European Economic Area, the United Kingdom, or another jurisdiction with data protection laws similar to the GDPR, you have rights including access, rectification, erasure, restriction, portability, and objection. We process your personal information under lawful bases including contract (to provide the Service), legitimate interests (to operate and secure our business), legal obligation, and consent. You may lodge a complaint with your local data protection authority.
16.Children's Privacy
The Service is not directed to children under 18, and we do not knowingly collect personal information from children under 18. If you believe a child has provided us personal information, contact us and we will take steps to delete it.
17.International Users
The Service is operated from the United States. If you access the Service from outside the United States, your information may be transferred to and processed in the United States, where data protection laws may differ from those in your country. By using the Service, you consent to that transfer. We take steps to ensure an adequate level of protection for international transfers where required.
18.Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version in the Service and update the "Last updated" date. Material changes will be communicated through the Service or by email where practical. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
